Return and Refund Policy

At Bear Light Studios, we take great pride in the quality of our products and truly value your satisfaction. We want your shopping experience to be clear, smooth, and stress-free. By placing an order with Bear Light Studios, you agree to the terms outlined below.

Return Eligibility

To be eligible for a return, refund, or exchange:

• You must notify us within 7 calendar days of receiving your order.
• Email [email protected] with your order number, reason for the return, and any requested photos.
• Items must be in original, unused, uninstalled, unmodified, and unaltered condition.
• All tracks, tops, bases, clips, spacers, accessories, and other components originally included with the order must be returned.
• Items must be returned in their original packaging whenever possible and packaged securely for return shipping.
• A return authorization must be issued by Bear Light Studios before a return is shipped.

Items that have been installed, cut, drilled, painted, modified, altered, or otherwise changed from their original condition are not eligible for a standard return.

If Your Order Arrives Damaged or Incorrect

If your order arrives damaged in transit or you believe you received an incorrect item, please contact us as soon as possible and within 7 calendar days of delivery.

Please:

• Take photos of all sides of the shipping carton, including any visible damage.
• Save the original shipping carton and packaging.
• Send photos and/or a short video clearly showing the affected products.
• Include the approximate number of affected tops, bases, or other components.
• Do not discard damaged products or packaging while the issue is being reviewed.

If the issue is the result of a verified Bear Light Studios fulfillment error, applicable replacement or return shipping costs will be handled by Bear Light Studios.

If the shipment was damaged by the carrier, we will work with you and the carrier to determine the appropriate replacement, claim, or refund resolution.

If a replacement is unavailable, an applicable refund will be issued after the return and claim requirements have been completed.

Essential Legal Disclaimers for Your Purchases

Thank you for shopping with us! Please review our shipping policy below:

1. Shipping of In-Stock Items
   In-stock orders generally ship within 1–3 business days, with most orders shipping the next business day. During peak periods, production or shipping timelines may be longer. Any significant lead-time updates will be posted on the applicable product page.
2. Backordered or Preorder Items
   For items listed as backordered, preorder, or temporarily unavailable, please refer to the estimated shipping timeframe shown on the product page. These items will ship as soon as inventory becomes available.
3. Order Processing
   Orders are generally produced and shipped in the order they are received. Earlier orders will typically be processed before later orders, subject to product availability, custom production requirements, and other operational factors.
4. Shipping Notifications
   Once your order has shipped, you will receive a shipping confirmation email with tracking information at the email address provided with your order.
5. Oversized Shipping
   Many Bear Light Studios products require long or oversized cartons. Carrier dimensional and oversized-package charges may apply to these shipments.

Bear Light Studios may subsidize a portion of the actual carrier cost of outbound shipping to help keep customer shipping rates lower. As a result, the shipping amount charged at checkout may be less than the actual carrier cost of shipping your order.

Order Cancellation & Return Policy

We want to make your shopping experience as smooth as possible. Please review the following cancellation and return terms carefully.

1. Cancellations Before Shipping

If you wish to cancel an order before it has shipped, and before production has begun on any custom or made-to-order products, please contact us as soon as possible.

Approved cancellations made before shipment are subject to a 3% processing fee.

Once an order has shipped, it is no longer considered a cancellation and is subject to our return policy.

2. Returns After Shipping

Once an order has shipped, approved standard returns are subject to:

• A 10% restocking fee calculated on the merchandise subtotal;
• The original outbound shipping charge; and
• The applicable return shipping cost.

Original shipping charges are non-refundable.

3. Return Shipping

Customers are responsible for return shipping costs on standard returns.

Return shipping is not subsidized by Bear Light Studios and reflects the discounted carrier rate available to us for that specific return shipment.

Because many Bear Light Studios products require long or oversized cartons, return shipping may cost more than the shipping amount originally paid at checkout.

Before a return label is issued, we will provide you with the applicable return shipping cost. A return authorization label will only be issued after you accept that cost.

Unless otherwise approved by Bear Light Studios in writing, authorized returns should use the return label provided by Bear Light Studios. This allows us to maintain tracking and applicable carrier shipment coverage associated with the return.

4. Return Packaging

Customers are responsible for packaging returned products securely for transit.

Whenever possible, products should be returned using the original shipping carton and protective materials.

Tracks and components must be secured so that they cannot freely move, shift, bend, or strike one another during transportation.

Damage resulting from inadequate or improper return packaging may affect the amount eligible for refund.

5. Return Transit Damage or Loss

When a Bear Light Studios-issued return label is used, we will maintain the tracking information and applicable carrier shipment coverage associated with the return.

If a properly packaged return is lost or damaged by the carrier while in transit, Bear Light Studios will coordinate the applicable carrier claim.

Customers may be asked to provide photographs, packaging information, or other documentation required by the carrier.

Refund processing may be delayed while a carrier loss or damage claim is being reviewed.

Custom & Made-to-Order Products

Custom-produced and made-to-order products are considered final sale once production has begun.

This includes, but is not limited to:

• Custom powder-coat colors;
• Custom track spacing or configurations;
• Custom-produced mounts or components; and
• Products manufactured specifically for an individual order.

We strongly recommend ordering color samples before placing a custom-color order when color matching is important to your project.

How to Cancel or Request a Return

To cancel an eligible order or request a return, please contact our Bear Care service team at:

Please include your name, order number, and the reason for your request.

For returns, please also include any photographs requested by our team.

Do not ship a return until you have received return authorization and shipping instructions from Bear Light Studios.

Refunds

Once your return is received, it will be inspected for condition, completeness, and compliance with this policy.

The final refund amount is determined after inspection.

For an approved standard return, the refund will be calculated from the amount paid, less:

• The original outbound shipping charge;
• The return shipping cost;
• A 10% restocking fee calculated on the merchandise subtotal; and
• When applicable, reasonable deductions for missing components, missing quantities, customer-caused damage, modification, alteration, or other conditions that reduce the value of the returned products.

If an additional deduction is required following inspection, it will be documented as part of the return review.

Approved refunds will be issued to the original payment method.

Bear Light Studios generally initiates approved refunds within 7–10 business days after the return has been received and inspected. Your bank or card issuer may require additional time before the credit appears on your account.

Refused or Undeliverable Shipments

Orders that are refused at delivery, returned to sender, or returned because of an incorrect or incomplete customer-provided address may be treated as a return.

Applicable original shipping charges, carrier return charges, return-to-sender fees, and restocking fees may be deducted from the refund.

Customers are responsible for providing a complete and accurate shipping address at checkout.
